Every software vendor now claims to have 'AI.' Here's what actually matters when you're deciding whether a tool is worth it - and what questions to ask before you sign up
For years, software vendors sold features. Now, almost every pitch leads with “AI” – whether it’s genuinely useful or just a rebranded rules engine with a chat icon. Whether it’s a CRM, a chatbot, or a reporting tool, small business owners are increasingly expected to just trust the label without knowing what’s actually happening underneath.
But not all “AI” is equal, and a small business doesn’t need to become technical to ask the right questions before committing budget to a tool.
From "It Has AI" to "It Actually Works for Us"
While a vendor’s pitch focuses on the buzzword, what actually matters is whether the tool is trained on your specific business, whether it hands off cleanly when it should, and what happens to your customer data along the way.
"Every deployment is trained on your products and FAQs, tested against real customer questions, and set up to hand off to a human cleanly when it should."
ChillyChoo, How We Work
Questions Worth Asking Before You Sign Up
- Is it trained on your business, or just "AI in general"? A generic model with no real knowledge of your products or policies will confidently give wrong answers.
- Does it know when to hand off to a human? If there's no clean escalation path, customers get stuck talking to something that can't actually help them.
- Where does your customer data go? Ask directly whether conversations are stored, for how long, and whether they're used to train anything beyond your own account.
Buzzwords Aren't a Strategy
The businesses that get real value from AI tools aren’t the ones chasing the newest label – they’re the ones asking these basic questions before they commit, and reviewing the results honestly afterward. A tool that can’t answer these questions clearly probably isn’t ready for your business yet, regardless of how it’s marketed.
